COExperience: COVID-19 Update
May 14, 2020
March 20, 2020
Dear COE Community,
As we’ve continued to monitor and evaluate the impacts of COVID-19, we’ve made the firm decision to move this year’s event and we are excited to share that we have secured new dates for this year’s COExperience to September 13-16, 2020 at the Hyatt Regency in Miami, FL.
Given the shift in timing, we understand that many of you may have questions how this will affect your registration. If you registered before March 16, 2020, your registration will automatically apply to our newly scheduled dates, or you can easily substitute your registration to a fellow colleague at no additional cost. Additional information about registration can be found on the COE website here.
Your housing arrangements will need to be updated. The Hyatt Regency in Miami will cancel all reservations for the April dates and you will need to rebook with the new dates here.
The health and safety of not only the COE Community but our global community continues to be the main priority for us, and we sincerely appreciate your support and patience during this time. If you have any other questions, please feel free to contact firstname.lastname@example.org.

At this time, no federal restrictions are in place to prevent travel and meetings within the United States. COExperience will occur April 26-29, 2020 as planned. We’re pleased to report that event registration and hotel reservations are tracking evenly with 2019 figures and we will maintain ongoing communication with the COE Community throughout the run up to the conference.
We are monitoring updates from the World Health Organization (WHO), the Center for Disease Control and Prevention (CDC), and the Florida Department of Health. We take pride in offering vital business opportunities to our customers, including networking, education and access to new products and technologies and are working diligently to ensure COExperience and lives up to our high standards. We are focused on making COExperience a successful and enjoyable event for all attendees and exhibitors. In the last week we have continued to have several new exhibitors sign up for the show. New attendee registrations over the last week tracked as equal to the same week last year – both for attendee and exhibitor registrations.
Hyatt hotels globally, including Hyatt Regency Miami, have implemented precautionary measures in responses to COVID-19 concerns, including colleague education as well as relevant operational protocols.
All our Conference partners in COExperience are monitoring the COVID-19 virus and its impact on a daily basis. We are collaborating closely with the Hyatt Regency Miami and state and local public health authorities. COE is planning to implement additional onsite tools for attendees, exhibitors and onsite personnel, including, but not limited to, the following:
- Increased availability of hand sanitizing stations
- Increased cleaning and disinfection process across all high-volume touchpoints (catering areas, surfaces, handrails, restrooms, entrances/exits, touch-screens, etc.) along with the use of cleaning/sanitizing materials and products
- Increased onsite medical support
- Awareness campaign via online and onsite information and signage
- Availability of sanitizing and disinfection materials for public use
- Create an environment to promote a ‘touch-free’ exhibition and conference:
- Communicating the adoption of a ‘no-handshake policy’
- Reduce/eliminate business card exchanges
- Exhibitors: Utilize the available lead retrieval system for gathering leads electronically
- Attendees: We encourage you to utilize available technologies like the COE mobile app, AirDrop or other available services to share contact information.
We strongly urge exhibitors and attendees to implement appropriate guidelines and protocols as suggested by the WHO and other health authorities. COE will endeavor to provide a safe and healthy environment for all attendees.

We are constantly reviewing our health protection activities, public health messaging, hygiene and medical control measures with the aim of strengthening our COVID-19 response further in line with up to date public health advice and guidance, including that of the CDC. Hyatt Regency is prepared to follow any additional protocols or guidance, as they are made available by Florida Department of Health.
We will continue to provide updates on our website as we get closer to COExperience. The health and safety of the COE community is our utmost priority.
If there are additional individuals from your organization that will also be in attendance, please feel free to forward this message to all stakeholders in your company.
